Responsibilities:
Essential Functions
1. Perform administrative functions including filing, faxing, copying, data entry, scanning, and operating copiers, postage machine and all office equipment
2. Provide administrative support to EVP of Behavioral Health and Community Service and EVP of Community Living and Day Services
3. Process Administrative Request Forms and Personnel Action Forms, including updating Master Directory and program/division organizational charts as changes are made
4. Assist with calendar and meeting management for Senior Managers
5. Responsible for office supplies ordering and tracking for the organization
6. Collaborate with front desk Administrative Assistant to perform all required functions needed as part of the Reception Area:
o Sort and distribute incoming USPS and FedEx mail
o Timely distribution of all e-faxes
o Register staff, hand out and FedEx COVID tests
o Keep Reception Area clean and inviting to visitors and employees
o Notify recipients of all incoming packages
o Screen and assess incoming telephone calls and other contacts for follow up
o Receive visitors, make positive first and ongoing impressions to all guests and employees
7. Front desk coverage while full-time AA is at lunch. Ability to work full-time when partnering Administrative Assistant is out of office preferred.
8. Perform other duties as assigned by supervisor

7. Can prioritize work when given various projects
8. Ability to work with Microsoft Office Applications (Word, Excel, Outlook)
9. A positive, hands-on, true partner for our BAMSI family
10. Work collaboratively across the business, being a “go-to” person for administrative support
11. Strong interpersonal-relationship skills
Qualifications:
- High school diploma or GED with 2-3 years of receptionist experience.
- Previous experience working for a not-for profit and/or health and human services organization preferred.
- Bi or multilingual proficiency a plus.
