Administrative Assistant

Fellowship Christian Reformed Church

This is a Contract position in Grandville, MI posted November 24, 2021.

We are looking for an organized, self starting individual to run the church office! Computer and office equipment skills required. Elvanto and Proclaim experience a plus.

RESPONSIBILITIES

Office Support

  • Warmly greet all visitors and members who come into the office.
  • Maintain a schedule of all church events.
  • Schedule the use of the church and collect the rental fee.
  • Maintain the office equipment and ensure that adequate office supplies are available. This may require periodic trips to the Post Office, office supply stores, CRC Publishing House, etc.
  • Maintain an office petty cash account for incidental expenses. Submit invoices and payment requests to the Treasurer for other purchases. File copies of all requests.
  • Oversee office helpers.

Member Support

  • Update the church database Planning Center Online with directory and membership information.
  • Print and distribute the Directory as needed.
  • Handle all paper communications regarding church membership changes including Baptism, Profession of Faith, marriages, etc.
  • Maintain the Congregational mailboxes and distribute information.
  • Maintain community bulletin board. Ensure that current and appropriate information is displayed.

Committee/Council Support

  • Admin / Elder / Council Packets – compile/distribute
  • Assist with council training materials, communications and disbursement
  • Type, copy, and distribute minutes of committee meetings, reports, and other correspondences required for staff, committees, and Council members.
  • Prepare information and ballots for Congregational meetings.
  • Maintain church bulletin board with Congregational, Council, and Admin Board minutes, agendas, and other correspondences.
  • Update Service Survey’s, as implemented, with various ministries/committees. Disburse to congregation. Compile results and distribute accordingly.
  • Post weekly bulletin, monthly schedule, and J.O.Y. (Just Older Youth) as required. Communicate other required schedules and information via mid-week announcements email.

Worship Services

  • Contact guest ministers regarding services they will be leading, as required (sometimes completed by Elders and WD)
  • Prepare, copy, and distribute the monthly schedule for volunteers for Sunday service tasks.
  • Assist Worship Director and Pastor with any required scheduling and distributing of Worship Service requirements through PCO or other means
  • Type, copy, and distribute the bulletin.
  • E-mail Sunday volunteers.

Staff Support

  • Perform special projects for the Ministry Team. This may include typing, organizing, posting information, etc. All requests from Committees and members of the Congregation must first be approved by a member of the Ministry Team.
  • Answer the phone, screen calls, make appointments, other telephone work, direct caller to the correct staff or church member to assist them, etc.

HOURS

Keep regular office hours.

  • 9:00 AM to 12:00 PM Tuesday through Thursday 9:00 AM to 12:00 PM (posted hours) additional on Friday’s as needed.
  • Tuesday and Thursday from June through August (posted hours) Wednesday mornings and additional hours as needed.
  • Ministry Team requests may necessitate additional hours.
  • 12-15 hours a week are typical, fall-spring, summer often less

Job Type: Part-time

Pay: $16.00 – $20.00 per hour
