Administrative Assistant

This is a Full-time position in Gurnee, IL posted February 4, 2021.

This role provides direct administrative support to the plant including strong administrative components with strategic support of operational needs and advanced computer responsibilities. 
The successful candidate will be able to handle multiple priorities seamlessly and meet critical deadlines. This role requires extensive collaboration with colleagues and a willingness to shift and expand responsibilities as needed to ensure business goals are met. The successful candidate will have superior communication skills, professional demeanor, strong business acumen and the ability to create/maintain positive working relationships. 
Main Responsibilities:

  • Create projects in SAP and handle fulfillment activities, facilitating vendor payments and processing of purchase orders and expenses as well as invoices reconciliations in accounting systems 
  • Track and manage project costs, timelines and business spend against budget 
  • Setup and maintain electronic and paper files, coordinate office and safety related supply needs, perform document creation/updating assignments, including reporting, and proofread documents 
  • Welcome on site visitors, determine nature of business and announce visitors to appropriate site personnel
  • Manage/coordinate multiple leadership/team calendars 
  • Plan and coordinate plant visits, meetings, special events and projects 
  • Respond to emails and voicemails in a timely manner and with minimal supervision 
  • Utilize software, systems and research information to prepare accurate reports, timelines, business correspondence and presentations in various multi-media forms as required – memos, Power Point presentations, email, etc.
  • Interact professionally with internal and external stakeholders 
  • Maintain a high level of confidentiality with sensitive information 
  • Manage special projects as assigned 
  • Support other operations team members and work productively in a team environment
  • Coordinate major weekly/monthly team meetings for the Production Team and track action items
  • Create and manage monthly reports
  • Back-up admin resource to ONE site for Americas
  • Other duties as assigned
