Job Description Summary

The Operations Associate Level II is a key position in the Global Investments and Fiduciary Solutions (GIFS) Operations department for the Bank’s Wealth Management Group (WMG).

This position is responsible for performing various operational activities supporting the GIFS business and investment products.

Works as part of the BancWest Investment Services asset movement operations team to meet service levels consistently by coordinating information among internal and external customers and resolving difficult and complex operational issues.

The Operations Associate Level II is responsible for performing various operational activities in key areas of the GIFS operations program including, Asset Restrictions, Asset Setups, Cost Unit Adjustments, Trust to Trust transfers, Free Receipt Deliveries and Asset Pricing Updates. 

Essential Job Functions

Ensure the timely, accurate and appropriate risk review processing of money movement requests through various systems for incoming and outgoing fund movement.

Partner with external service providers and bank control functions in the development of risk and review policies that optimally support evolving business and customer needs; Engage with technology partners in the development of digital tools to enhance the customer experience; Partner with WMG team leadership (including Sales, Key Client Group, Compliance, Risk) in identifying service needs; Ensure consistent monitoring to reduce risk and improve service delivery; Partner with business colleagues in monitoring adoption of digital service solutions and devising plans for increasing usage levels.

Partner with WMG GIFS team in ensuring the delivery of a seamless operational support model on behalf of WMG GIFS clients and advisors; Ensure awareness of critical functions performed collectively across the combined team to avoid service gaps for clients and advisors, targeting a ‘single-call solution’ model; Partner with Legal, Controls and Governance, Service Center and the bank’s control and regulatory functions to ensure a robust control environment, with effective and proactive monitoring practices.

Other Job Duties

Responsibilities may include account operations, business analysis, client reporting, custody, fees and accruals, lending support and other activities.

May provide guidance and assistance to entry level professional and/or support employees.

Required Experience

  • Requires practical knowledge of job area typically obtained through advanced education combined with experience.
  • Requires 3 years minimum prior relevant experience.

    Preferred 5-8 years experience for WMG Client Services role.

  • Prior experience in the Financial Services industry, preferably Banking or Investment Management preferred.

Licenses & Certifications

FINRA Series Licenses 7, 63, 24, not required but is a plus

Education

High School Diploma or GED Required.

Bachelor’s degree preferred.

Skills

Excellent written and verbal communication skills for documenting necessary processes, business requirement proposals, client interaction, and project documentation as required.

Strong analytical and problem-solving skills coupled with thoroughness and attention to detail is highly desired.

Demonstrate good working knowledge of SEC rules, trust company and banking operations.

Demonstrated ability to use multiple systems and software applications to complete assigned work;

Able to use Microsoft Office Suite Products (Word, Excel, and PowerPoint); Knowledge of FIS, Trust Desk, Liquid Office, RPI, Host, Appian and other computer systems.

Ability to work in a fast paced environment while meeting tight deadlines for completion of assigned work.

Maintains and demonstrates, up to date current knowledge of the products, policies and processes related to WMG unit.

Working Location Statement

This position has the option to work in one of our key hubs (Tempe, AZ, Omaha, NE) or to work remotely as long as it is in within our 27 state working footprint which includes AZ, CA, CO, FL, GA, ID, IA, IL, KS, MI, MN, MO, NE, NV, NM, NC, ND, OH, OK, OR, SD, TX, UT, WA, WI, WY, NY
