As the Director of Finance, you will report directly to the CEO and manage the entire financial portfolio for the American Tinnitus Association (ATA).
We are financially strong and have 5 years of operating expenses in reserves.
While we currently have $1 million in annual revenue, with $5.5 million in reserves, we anticipate growing to a $10-15 million organization in the next 10 years through new initiatives, corporate sponsorships, endowments, and investments.
The ATA is a unique nonprofit that exclusively serves the tinnitus community which includes individuals with tinnitus and their families, healthcare professionals, and researchers.
While there are an estimated 26 million adults in the U.S.
with tinnitus, approximately 5.2 million are mildly, moderately, or severely bothered by the chronic condition.
Serving this group, in particular, underscores our mission to promote relief, prevent, and eventually find cures for tinnitus.
We lead by providing the community with award-winning research-based information, supporting people with tinnitus, building a reliable healthcare provider network to meet patient needs, and funding promising seed grant research to develop better treatments and possible cures.
Indeed, cures are a primary aim for our organization.
Since 1980, the ATA has invested more than $6 million in tinnitus research, which has fostered the development of the tinnitus research field in the U.S.
As an organization almost entirely funded by individual donors who share our goals and values, donor care and cultivation are critical components of our work.
In this role, you will oversee everything from daily tasks such as downloading and filing invoices and receipts, to managing HR administration of payroll and benefits, to presenting quarterly and annual complex financial analysis to the board of directors and creating the financial board book documents package.
The role is vital to our success and you will be empowered to make decisions that will drive our financial health and help us continue to grow.
You will be joining a talented team of 11 employees and consultants that are dedicated to supporting the tinnitus community and working towards eventually finding cures for this debilitating condition.

ATA brings together patients, researchers, healthcare professionals, industry partners, and lawmakers to advance public understanding of tinnitus and fund vital tinnitus research.

ATA promotes synergy between dedicated medical professionals and researchers who work with and within the tinnitus community.
The battle for a cure is real and will be won through advances in technology and medicine, areas where we have often been a conduit to new discoveries.
We fulfill our mission by (1) funding targeted research projects; (2) providing education, hope, and support for the tinnitus community; (3) advocating for effective public policies focused on advancing science towards cures for tinnitus; and (4) collaborating with others to promote awareness, encourage prevention, and ultimately silence tinnitus.
Responsibilities
Finance and Accounting
Produce monthly, quarterly, and year-end financials in an accurate and timely manner; clearly communicate the implication of these reports to leadership.
Provide quarterly analyses of the financial situation of the ATA for the audit committee and the board of directors via phone or in-person upon request.
Ensure that accounting is in accordance with GAAP and nonprofit accounting principles and standards; ensure staff follow established procedures.
Maintain physical and Dropbox copies of all files for vendors, expense reports, bequests, benefit records and policies, insurance, banking, payroll, etc.
Download, print, and enter invoices into QuickBooks, pay approved bills, transfer balances as needed, and reconcile bank, credit card, and investment statements.
Ensure accurate entries of amortization and depreciation and enter invoices for advertising or A/R items.
Ensure that all required tax returns (990s and 990-T) and other government forms are accurate and filed on time.
Serve as staff liaison to the audit committee and work directly with ATA’s auditors.
Oversee the annual budgeting exercise and planning process in conjunction with the Chief Executive Officer to have the budget completed and presented to the finance committee, the board of directors, and Treasurer for approval.
Once approved by the board, monitor progress and compliance of expenses.
Maintain appropriate financial controls; if lacking, institute controls, according to audit findings and overall best practices.
Ensure accounting records, tax filing copies, and other records are maintained properly and safely stored.
Ensure the timely submission of state filings including monthly reviews for any registrations that may be expiring and annual submissions for applications and payment of fees.
In close cooperation with the Chief Executive Officer, review financial reporting material for all donors, ensuring that resources are allocated in full compliance with stated donor intentions.
Oversee and ensure accurate processing of payroll every two weeks.
Administration and Operations
Create new payroll files for new hires and assist employees with accessing the ADP self-reporting timekeeping application; track benefits and usage; benchmark salaries to industry and geographic standards; provide updated pay and benefits package to employees annually; produce and provide new hire paperwork packages; maintain employee files.
Oversee the review and renewal of all insurance policies that affect the organization and complete annual audits for the carriers as requested.
Conduct an annual review of finance-related policies and procedures for the organization and staff; ensure that all staff, consultants, and volunteers are informed of procedures and are in compliance with them.
In close collaboration with the Chief Executive Officer and outside counsel as needed, work to ensure that the organization is in compliance with rules and regulations governing the operations of the organization and protected from legal liability.
Conduct staff training as needed.
